Troubleshooting
Something not working? Start here. These are the problems people hit most, and how to fix each one.
Pick the problem you’re seeing. Each section explains what’s going on and links to the full article for that part of Flow.
Search shows few or no results
The most common cause is LinkedIn itself. On a free (Classic) LinkedIn account, LinkedIn limits search to around 250 results a month. Once you hit it, LinkedIn returns very few people, or none. When a LinkedIn search comes back nearly empty, Flow shows a Not seeing many results on LinkedIn? banner.
- Switch to the Flow Database. Use the switch above the filters, or the Switch to Flow Database button on the banner. It’s Flow’s own contact database and isn’t affected by LinkedIn’s search limits.
- Use fewer filters. Two or three well-chosen filters find more people than five or six stacked together. Try a wider location or drop the most specific one.
- Add Sales Navigator to your LinkedIn account if you search a lot. Flow uses it automatically and it unlocks the advanced filters.
- “Daily search limit reached for this account” means you’ve hit Flow’s daily safety cap for search on that account. It resets tomorrow.

My campaign isn’t running
Work through these in order:
- Is it working hours? Flow only acts between 9:00 AM and 6:00 PM in each account’s local timezone. Outside those hours nothing happens, and that’s expected.
- Is the account warming up? A new account sends only 3 requests on its first day, building up to 15 over 13 days. Leads waiting their turn show as Warming up. See the warm-up.
- “Cannot activate a list with no assigned team members”. Every list needs at least one team member to send from. Assign one to the list, then press Run Outreach again.
- “At least one assigned account must have an active LinkedIn connection”. The person assigned to the list needs to reconnect LinkedIn. See LinkedIn keeps disconnecting below.
- Has today’s cap been used? Campaigns and your AI assistant share the same 15-a-day connection cap. If your assistant sent invites this morning, the campaign waits until tomorrow.
The status line above every list shows where each lead is: not started, warming up, connected, not accepted and errors.
Leads marked Failed or Not Accepted
- Failed means a step couldn’t be completed after several retries, not that the person said no. Common causes are a lead without a valid LinkedIn profile URL, or the sending account being disconnected at the time. Fix the cause, then open the list’s ··· menu and choose Retry failed outreach.
- Not Accepted means the person didn’t accept within 14 days, so Flow withdrew the request to keep your account healthy. That’s normal and nothing is broken.
LinkedIn keeps disconnecting
LinkedIn ends sessions from time to time, for example after a password change, a sign-in from a new device, or a routine security check. When it happens, the account shows Click to connect or Didn’t connect in Settings → Team, and a banner offers Reconnect LinkedIn. Outreach on that account pauses and picks up where it left off once you reconnect.
- You sign in to LinkedIn with Google. Then your LinkedIn account may not have a password, and Flow needs one. On LinkedIn, use Forgot password on the sign-in page (or Settings → Sign in & security) to set one, then connect again with your email and that password.
- It disconnects every few days. Turn on two-step verification in authenticator app mode on LinkedIn. It’s the safest option, and it lets Flow restore the session on its own most of the time.
- “This LinkedIn account is already connected to another seat”. A LinkedIn account can only be on one seat at a time. Disconnect it from the other seat first.
- You use another LinkedIn tool too. Two tools signed in to the same account can knock each other out. Disconnect the other one.
- The verification code timed out. LinkedIn’s codes only last a few minutes. Start the connection again and enter the new code straight away.

Claude or ChatGPT won’t connect
Flow connects to your AI assistant with a connector URL that already contains your API key. Most errors come from the URL or the sign-in setting.
- Claude: “Couldn’t register with Flow AI’s sign-in service”. Claude tried to sign in with OAuth, which Flow doesn’t use. Remove the connector, add it again with the full URL including ?token= and your key, and choose No sign-in on the authentication step.
- ChatGPT: there’s no Create option. Turn on Developer mode in Settings → Plugins first. If it’s still missing, your ChatGPT plan or workspace may not allow custom apps, so check with your workspace admin.
- A scheduled task says Flow isn’t connected. Open the task and check Flow AI is switched on in its connectors. Scheduled tasks don’t always pick up a connector you added after the task was created.
- It worked, then stopped. The API key may have been revoked. Create a new key in Settings → Connect AI Assistant and update the connector URL. Only company admins can create keys.
Step-by-step setup is in Connect AI assistant.
CSV import errors
- Every row needs a LinkedIn profile URL. When you import, map your URL column to LinkedIn URL Column. The name column is optional.
- Rows with a missing or invalid URL are skipped. Use the standard profile link, which looks like linkedin.com/in/their-name.
- Start from the template. Download CSV Template in the import dialog gives you the two columns Flow expects: name and linkedin_url.
